What is Receipt Capture in XBert?
Receipt Capture is a feature inside XBert that turns your clients' receipts and bills into ready-to-review transactions. It reads each document, extracts the supplier, date, total, tax and line items, and suggests the account, tax rate and supplier based on how that client's ledger has been coded before. Each receipt becomes a work item on your XBert board, where your team reviews it and publishes it to the ledger as a bill or spend money with the receipt attached. Receipt Capture is available to every XBert account and carries a Beta label while we keep improving it with our users.
What's the difference between Receipt Capture and XBert Capture?
They're two parts of one job. XBert Capture is the app your clients use to photograph or upload a receipt and send it to you, on iOS, Android or in a browser. Receipt Capture is the feature inside XBert that reads the receipt, suggests the coding and puts it on your board. They're switched on separately, on different screens in XBert, so you can use Receipt Capture with emailed or uploaded receipts even before you invite clients to the app.
Why is Receipt Capture better inside a workflow tool?
Because every receipt is work that someone has to do. In XBert, each receipt becomes a work item routed to the right process and team member, visible on your board and counted in their capacity, just like BAS or month-end tasks. Nobody has to remember to check a separate app, managers can see what's waiting and who has it, and receipts get done as part of the week rather than piled up for quarter end. XBert started as a data quality platform, so the data coming in through Receipt Capture is checked by the same engine that flags the errors going out.
Does Receipt Capture reconcile the bank feed or publish automatically?
No to reconciling. Matching and reconciling is still done in the ledger, as it is today. Nothing publishes unless you tell it to: by default someone on your team clicks Publish, or you can create a rule for the receipts you're happy to let through.
How do my clients send receipts?
However suits them. They can use the XBert Capture app on their phone or in a browser, or forward receipts and bills to their dedicated receipt email address. Your team can also upload receipts in XBert, add them through Quick Add, or receive them through the Connect portal. Every receipt ends up in the same place, ready for review. In the XBert Capture app you and your client can also chat, share tasks and notes, so questions about a receipt get answered without a phone call or an email chain.
How does XBert learn how I code?
When you change the suggested coding on a receipt, XBert remembers it as a memory for that supplier and that client. The next receipt from that supplier comes through coded your way. You can see what's been remembered in the Memories tab, so it's always clear why something was coded the way it was. Coding suggestions are based on that client's own ledger history and memories wherever they exist.
Which accounting software does Receipt Capture work with?
Receipt Capture publishes to Xero, QuickBooks Online, MYOB and FreeAgent. On Xero, bills can go in as Draft or Approved. On QuickBooks, MYOB and FreeAgent they're created ready to pay. It needs a connected Data Quality Financial AI Plan to connect to the ledger and read your client's accounting data and publish receipts.
How much does Receipt Capture cost, and how do I get started?
It's included, and unlimited, on every Financial AI / Connected client in XBert. There's no add-on and no per-client charge, so you don't have to decide which clients are worth putting on it.
